Booking Policy

1. Reservation & Confirmation
All bookings are confirmed once Evarest Adventures has received your signed booking form and the required deposit. A confirmation email will be sent to the email address provided at the time of inquiry.
2. Deposit & Payment
A 30% non-refundable deposit is required to secure your booking.
The remaining balance (70%) must be paid at least 60 days before the trip departure date.
For bookings made within 60 days of the departure date, full payment is required at the time of booking.
We accept payments via bank transfer, credit/debit card (Visa, Mastercard), and PesaPal.
3. Cancellation by the Traveller
Cancellations must be submitted in writing via email to info@evarestadventures.com. The following cancellation fees apply:
91+ days before departure: Deposit forfeited (30%).
61–90 days before departure: 50% of total trip cost.
31–60 days before departure: 75% of total trip cost.
30 days or fewer before departure: 100% of total trip cost (no refund).
4. Cancellation or Changes by Evarest Adventures
We reserve the right to cancel or modify a trip due to force majeure events (including but not limited to natural disasters, pandemics, political unrest, or government restrictions). In such cases, we will offer a full refund or the option to reschedule at no additional cost.
5. Itinerary Changes
Minor changes to the itinerary may occur due to weather, road conditions, park regulations, or other factors beyond our control. Evarest Adventures will always endeavour to provide an equal or superior alternative.
6. Travel Insurance
All travellers are strongly advised to purchase comprehensive travel insurance covering trip cancellation, medical emergencies, evacuation, and personal belongings for the duration of their trip.
7. Group Tours & Minimum Numbers
Group departures require a minimum number of participants. If the minimum is not met, Evarest Adventures reserves the right to cancel the departure up to 30 days before the start date. In such cases, a full refund will be provided.

We implement appropriate technical and organizational measures to protect your personal data against unauthorized access, alteration, or destruction. However, no method of transmission over the internet is 100% secure.

Terms of Service

1. Agreement
By booking a trip with Evarest Adventures, you agree to these Terms of Service in full. These terms constitute a binding agreement between you (the "Traveller") and Evarest Adventures (the "Company").
2. Fitness & Health
Certain activities, including but not limited to mountain trekking (e.g., Kilimanjaro, Mount Meru), require a reasonable level of physical fitness. It is the Traveller's responsibility to:
Disclose any pre-existing medical conditions
Consult a physician before undertaking strenuous activities
Carry prescribed medications
Evarest Adventures reserves the right to exclude a participant from an activity if their continued participation poses a risk to themselves or others.
3. Liability
Evarest Adventures acts as a tour operator and organizer. While we take every precaution to ensure your safety, we shall not be held liable for:
Injury, illness, or death arising from activities or travel
Loss or damage to personal belongings
Delays caused by third parties, weather, or other force majeure events
Actions or omissions of third-party service providers (hotels, airlines, etc.)
4. Conduct
Travellers are expected to behave in a respectful and responsible manner. Evarest Adventures reserves the right to terminate the trip of any participant whose behaviour:
Endangers the safety of the group or guides
Damages property or the environment
Is disruptive to the enjoyment of other travellers
No refund will be given in such circumstances.
5. Wildlife & Environment
All safaris and nature-based activities are conducted in accordance with Tanzania National Parks Authority (TANAPA) and Ngorongoro Conservation Area Authority (NCAA) regulations. Travellers must:
Stay inside vehicles during game drives unless instructed otherwise
Not disturb or feed wildlife
Avoid littering and respect natural habitats
6. Passport & Visa
It is the Traveller's responsibility to ensure valid travel documents, including a passport with at least 6 months validity and any required visas. Evarest Adventures is not liable for denied entry due to insufficient documentation.
7. Photographs & Media
Evarest Adventures may take photographs and videos during trips for marketing and promotional purposes. By booking a trip, you grant permission for your likeness to be used in such materials unless you inform us otherwise in writing.
8. Governing Law
These terms are governed by the laws of the United Republic of Tanzania. Any disputes shall be resolved through arbitration in Arusha, Tanzania.
